Like it - I'll send you MTW's separately and you can add it to wherever works best for this kind of need. I'm always looking for "best practice" info and policies is one that is important to keep up with. Thanks for doing this Jeffrey!

It would seem helpful to see what the different written IT Policies are from various churches. I could receive whatever written policy materials you have for the IT Department and then remove the names to protect the innocent (if you want me to otherwise I don't have a problem identifying where the policy originated) and publish as a Google Document on the web that had a list of written policies by topic and make it available for free to everyone to access from my website. As new ideas and policies are created, the public document could be updated for the benefit of other Church IT Departments. That would seem to be a valuable resource for churches out there.
What do you all think about that?

Yes, MTW has a policy and wording much like what you've written here. We don't have an interactive page, rather, this is incorporated in what we call "The Employee Handbook". Every employee is asked to read and sign the handbook when first employed and then expected to keep up with any modifications or subsequent edits over the years.
This handbook has been reviewed and approved by lawyers so I believe you can feel comfortable with what you have here. I believe that your wording presents a "best practice" scenario for organizations who are serious about having good policies for managing their environments. If you'd like a copy of MTW's wording let me know and I'll be happy to send it to you.

The discussions of e-mail archival/retention prompted at least one response of lawyerly involvement. That reminded me of computer use policies which reminded me of this:
All content created, stored, transmitted and/or received using Brentwood Baptist Church (BBC) resources (including but not limited to computers, telecommunications/voicemail systems, e-mail servers and/or facsimile (fax) machines) should be for business purposes only. BBC reserves the right to access and review the substance of any such content. Persons using BBC facilities and/or systems may expect no right to privacy as regards same.
--------------------------
By clicking the OK button below, the user indicates their understanding and acceptance of this statement and agrees to abide by all BBC policies governing computer usage as set forth in the BBC Employee Handbook and elsewhere (copies may be obtained from the business office).

That's shown in the "interactive logon" message before each domain user logs on to their computer. We've been running with it for 6-7 years now.
I'm not a lawyer and I suspect that most of you are not either. Do you have anything similar? Is this statement going a little overboard? Does it address the "right" to retain e-mail?
